Accommodations Overview

You can create accommodation bookings for attendees in two locations under the Attendees tab in the Event Maintenance screen.
Under the View Attendees tab, there is the attendee-specific Accommodations tab in the bottom section of the screen, which will display the accommodation arrangements for the selected attendee.

There is also a main Accommodations tab under the Attendees tab. This tab allows you to view and manage multiple accommodation arrangements at once, regardless of attendee.

Under the Attendees | View Attendees | Accommodations tab or the Attendees | Accommodations tab, you can create entirely new hotel bookings or you may want to use the hotel reservations you pre-defined in Event Setup.
Review Chapter 5: Set Up an Event, Attendee Setup: Reservations, Add Accommodation Reservation. In Event Setup, you may have added a hotel reservation if, for example, you reserved a block of rooms for your attendees. You will now be able to assign specific attendees to these pre-defined room blocks. This is similar to the process of defining travel arrangements and assigning attendees to those arrangements; review Chapter 9: Attendee Travel.

Distinguishing Reservations from Arrangements/Bookings:
For ease of reference, this manual will call the accommodation records created in Event Setup “Accommodation Reservations”, and the accommodation records created in Event Maintenance | Attendees “Accommodation Arrangements” or “Accommodation Bookings”.
Note that the Attendees Module and the Travel and Accommodations Module are optional modules in EventPro Planner. If you have not purchased these modules, you will not see the related tabs and screens. If you are interested in previewing or purchasing either module, please contact the nearest Sales Department.
