To ensure that you and other staff members never miss a deadline, you can adjust your settings so that the appropriate users are reminded of actions with pop-up notification windows.

To create an Action Reminder in the Action [New] or Action [Edit] window, check the Reminder checkbox under the General tab.

From the drop-down list to the right, choose how soon before the action is due you want the reminder sent, e.g. 5 Minutes, 1 Hour, 2 Days, etc. Choose 0 (zero) Minutes if you want the reminder sent at the moment the action is due.

The Date/Time fields to the right will automatically fill in, unless you choose Custom. If you choose Custom, enter the Date and Time at which the user should receive the reminder.

The reminder will be directed to the individual selected from the Assignment drop-down list.

To ensure that the user(s) can receive the pop-up notification and to set the interval at which a user’s action reminders are checked, return to Setup | Users and double-click on the User record in the selection grid. Review Chapter 2: Setting Up EventPro Planner, Step 4: Users, Create User.

In the User [Edit] window, under the Personal Information tab, enter the number of minutes for an Action Check Interval. For example, if you select 120 minutes, the User will receive a pop-up reminder every two hours. If the interval is set to 0 (zero), the user will not receive Action pop-up notifications at all.

Remember that the more frequently you ask EventPro Planner to check for actions, the more you will tie up system resources and distract the user. Intervals between 2 and 4 hours are usually sufficient for action notifications.

Within the intervals you set, a Confirm box will pop up, asking if you want to view your EventPro Planner reminders. If you click Yes, the Reminders window will open. All of the actions assigned to you will appear in the selection grid in the middle of the pop-up window.

There are several things you can do with the actions in this window. Click to highlight an action:
a.
Basic information about the selected action will appear in the fields at the top of the Reminders window.
b.
Click the Open Item button to open the Action [Edit] window. Make any necessary changes and click Save.
c.
Click the Complete button to mark the action as Complete and remove it from the list of reminders. Click the Complete All button to mark all of the actions as complete and remove them from the list of reminders.
d.
Click the Delete button to delete an action entirely from the database.
e.
Select a Snooze time from the drop-down list and click the Snooze button to temporarily remove the action from the reminder list for a set amount of time.

Simply click Close to ignore the reminder. If you left any actions incomplete, or did not use the Snooze function, the actions will appear again in the next scheduled reminder.
