Attendee Overview

For each event attendee, you will be able to store information about his or her communications, actions, accommodations, travel arrangements, guests, registration details, finance and more.

Note that the Attendees Module is an optional module in EventPro Planner.  If you have not purchased this module, you will not see Attendee-related tabs and screens. If you are interested in previewing or purchasing the Attendee Module, feel free to contact the nearest Sales Department.

Open the event in the Event Maintenance screen.  If the Attendees tab does not appear in your Event Maintenance screen, ensure that your System Settings allow you to view the Attendees tab.  Review Chapter 2: Setting Up EventPro Planner, Step 1: System Settings.

Click on the Attendees tab. Under the Attendees tab there are several other tabs: View Attendees, Accommodation, Travel, Attendance & Seating and Finance.  At the bottom of the Attendees screen, there are several other Attendee Tabs related to various aspects of Attendee management.

The Single View sub-tabs (Single-By Name, Single-By Type and Single-By Company) allow you to view Attendee records one at a time. Use the black horizontal arrows next to the Name, Type and/or Company fields to scroll through your Attendee list. The Attendee’s contact information appears in the fields at the top of the tab. Note the small colored boxes that indicate if the attendee is a Guest, Exhibitor, Presenter, Sponsor, financial Group Leader, Linked Contact, and/or Flagged. Pink = Linked Contact, Red = Flagged, Blue = Exhibitor, Olive Green = Presenter, Dark Green = Sponsor, Orange = Guest, and Yellow = Financial Group Leader

Other information related to the Attendee will appear in the bottom pane of the screen under the appropriate tabs.

The List-View sub-tabs (All and the subsequent sub-tabs generated by the Attendee Types you defined earlier in Chapter 5: Set Up an Event, Attendee Setup: Attendee Types) allow you to view a list of all attendees or of all attendees of a certain Type.

Note that the color-coding on the selection grid matches the small colored boxes in the Single View: Pink = Linked Contact, Red = Flagged, Blue = Exhibitor, Olive Green = Presenter, Dark Green = Sponsor, Orange = Guest, and Yellow = Financial Group Leader.

Use the bottom scroll bar to scroll to the right to see additional information about the attendees.  Click to highlight the relevant Attendee in the top selection grid to see her or her related information in the bottom tabs.

Note the colored boxes at the bottom of the selection grid of the list-view sub-tabs. Each color is associated with a certain Attendee Status, according to how you set up your Attendee Status Codes (see Chapter 2: Setting Up EventPro Planner, Step 2: Status Codes). The numbers in the colored boxes represent the number of attendees of each Status for this sub-tab.  The Total number of attendees and Guests appears to the left of the colored boxes.  Clicking a colored box will filter the current list to show only those attendees of that status.  Click on Total to restore the entire list of attendees.

Functions for working with multiple attendees – e.g. Multi-Edit, Import, etc. – can only be accessed under the List-View sub-tabs.  While in one of the list-view sub-tabs, click the Detail Options button to the right of the top selection grid.  You will have several multi-attendee options: Multi-Add, Multi-Edit, Multi-Delete, Multi-Add Detail, Mail Merge, Import, Export, Create Exhibitor(s), and Upload.

The Attendees| Accommodation tab allows you to view and manage multiple accommodations records at once, regardless of attendee.

See Chapter 10: Attendee Accommodations for more information on how to create accommodation reservations for attendees.

All travel arrangements for the event, regardless of attendee, will appear under the Attendees | Travel tab of the Event Maintenance screen.  In this Travel tab, you can create and edit individual reservations, as well as edit and delete multiple travel records at once.

Under this tab, you can add tables to functions and assign attendees to seats and tables. Note that Attendees must first be registered for a function before you can arrange tables and seating.

The Attendees | Finance tab displays the invoices and payments for all attendees in the event.

At the bottom of the Attendees screen, there are several other tabs related to various aspects of Attendee management: Registrations, Travel, Accommodations, Requirements, Attendee Assignment, Communications, Actions, Finance, Guests, and Attachments.

If some of these tabs are not needed, you can turn them off by unchecking the applicable boxes in your System Settings.

This tab lists the functions for which an attendee is registered.  You created functions and registration packages earlier under Event Setup– see Chapter 5: Set Up an Event, Organization Setup: Functions and Attendee Setup: Attendee Registrations.  Now, under the Attendees tab, you will assign registration packages to the attendees.  See Register Attendees below.

In this tab, you can store any travel information for the specific attendee, such as flight bookings and car service.  Attendee Travel will be covered in more detail in Chapter 9: Attendee Travel.

In this tab, you can assign hotel information or record reservations for an attendee.  See Chapter 10: Attendee Accommodations for more information.

This tab will list any items requested by the attendee. Use the New, Edit, View and Delete buttons to the right of the Requirements selection grid to create, edit, view and delete requested items.  For more information, see Attendee Requirements below.

This tab provides space to list the functions in which the attendee is performing a duty, such as presenting at a seminar.  To learn more, see Attendee Assignment below.

This tab provides a place to record any interactions you have with an attendee.  To manage an attendee’s communications, find the attendee in a Single View or select the attendee in a List View. Click on the Communications tab below. Any communications related to the attendee will appear in the selection grid below.

Use the New, Edit, View, Delete, Filter and Print buttons to the right of the Communications selection grid to create, edit, delete, view, filter and print communications. To learn more about communications, see Chapter 13: Communications.

In this tab, you can schedule reminders for anticipated tasks that are related to an attendee.  To manage the actions related to an attendee, find or select the attendee and click on the Actions tab below. The attendee’s actions will appear in the selection grid below. Click the View Mine/View All button to the right of the selection grid to toggle between a view of actions assigned to you and all actions.

Use the New, Edit, View, Delete and Print buttons to the right of the Actions selection grid to create, edit, delete, view and print actions.  To learn more about actions, see Chapter 12: Actions.

You can manage two different aspects of Finance under this tab.  First, you can manage the Income and Expense items for an attendee.  To learn more about managing income and expense items for individual attendees, see Attendee Income/Expense below.

Second, you can manage the Invoices and Payments for an individual attendee.  To learn more about invoices and payments for individual attendees, see Attendee Finance below.

This tab provides a place to add attendees who are part of the same party as the main attendee.  This will automatically create a financial group for the connected attendees. To manage the guests of an attendee, find or select the attendee and click on the Guests tab below.  To learn more about guests, see Attendee Guests below.
