Create Event Status Codes
When you view the Booking Calendar, you will be able to easily identify the current status of events with the color-coded Event Status Codes. Event Status levels help personnel within your organization communicate with each other and function at maximum efficiency. They are also the key to preventing booking errors.
The Event Status Codes that you define here will be the options available when selecting an event status.
1.
Select Setup | Status Codes from EventPro Planner’s main menu.
2.
From the drop-down list in the upper left corner, select Event.
3.
Click the New button to the right of the selection grid.
4.
The Status [New] window opens.
5.
Enter the name of the code in the Status field.
6.
Click the Text and Back buttons to select the color of the text and background. Your selections will be visible on the Booking Calendar and in the Events screen, allowing you to quickly check the status of each event at a glance.
7.
Check the Show on Web box if you want to show events with this status level on your website.
8.
Choose a status Type for each from the drop-down list: Confirmed, Other or Cancelled. You must identify at least one Confirmed and one Cancelled status type.
a.
Confirmed is the highest level of status. You may want to create more than one Confirmed-type status. For example, you could name one status “Confirmed with catering,” and another status “Confirmed, no catering”. The Type of both statuses will still be Confirmed.
b.
Cancelled is the lowest level of status. You could also create different Cancelled-type statuses, such as “Cancelled” and “Cancelled: Competitor”, to track clients’ reasons for cancelling.
c.
Select Other for other event statuses, such as “Tentative”.
9.
Select a number with the Item # spin arrows. These numbers determine the order in which the statuses are displayed in the list.
