Enter Multiple Attendees
For some events, you know that there will be a certain number of attendees attending the event, but you do not know the name of the individuals. For example, for a fundraising banquet, you may know that Company X has purchased ten tickets, but you don't yet know the names of the people who will be attending. You need a way to quickly add ten generic attendees, which you can later edit to add specific names and other information. You can now use the Multi-Add Attendees function to do this.

In the View Attendees tab, click on one of the multiple attendee views, such as All.

Click the Detail Options button and select Multi-Add. Note that "Multi-Add" now means adding multiple attendees. In previous version of EventPro Planner, "Multi-Add" allowed you to add registrations, accommodation arrangements or travel arrangements to multiple attendees; that is now the "Multi-Add Detail" function.

The Event Attendee Multi-Edit window appears. There are all of the same tabs as in the Event Attendee [New] window (see Enter a Single Attendee), but if you are adding generic attendees, you probably will not be entering much of this information at this point. The only fields you need to fill in are Type, and Status, and the fields highlighted in yellow.

Select an attendee Type and Status from the drop-down lists.

Enter a Last Name. This is just a temporary last name that will serve for all of the attendees for now. For example, if you use the last name Smith, the attendees will be called Smith001, Smith002, etc. You can later edit the attendees to enter the correct last names.

Enter the Start/End numbers. EventPro Planner will add as many attendees as there are numbers in this range.

Choose the Length of the number, e.g. a length of 3 will appear as 001, a length of 4 would be 0001.

Enter any other information that you know will apply to all of the attendees. For example, you may know that all of the attendees belong to the same company, or you know that all of the attendees will require accommodation. However, remember that you do not need to enter any further information now. You can always edit the individual attendees later.

Click the Save button. In the Confirm dialog, click Yes to create the attendees.

The next Confirm dialog will ask if you want to suppress prompts and ignore limits. If you want to skip prompts such as maximum attendance for a function, maximum attendance for a registration group, and maximum attendance for an attendee type, click Yes. If you choose No, and you are adding many attendees, you may have to click through many prompts.

The attendees will be added, appearing e.g. as LastName001, LastName 002, LastName003, etc.
